What going live in weeks means

"Go live in weeks" is a buyer promise that has to be backed by an operating model. This playbook describes how we structure onboarding so a Phase 3 Benefits implementation runs from signed agreement to first member enrollment in weeks for qualifying employers — and how you can hold us to it.

The model has three commitments: a single implementation lead per account, weekly milestones from day one, and a target go-live date for qualifying contracts.

Week one — Scope and sync

Kickoff. Single implementation lead assigned. Kickoff call within 48 hours. We share the signed implementation plan with the go-live date in writing.

Configuration. Eligibility file format confirmed. Test census uploaded. HRIS connector configured (for connected platforms). Test environment issued.

Training. Admin team trained. Card art proofed. Member communication template approved.

Week two — Test and ship

Testing. Test transactions in the test environment. End-to-end claim flow verified. Reporting exports walked through.

Cutover prep. Production cutover scheduled. Final census loaded. Cards in production queue.

Go-live. Members receive welcome communication. Cards shipped. Support hand-off complete.

What it takes from you

Going live in weeks only works when the employer is staffed for it. We ask for:

  • One named project lead on your side, available 4–6 hours a week.
  • Eligibility file or HRIS connector access within 5 days of kickoff.
  • Card art and member comms approval within 2 business days of receipt.
  • One 30-minute admin training session.

If your team can't commit to that pace, we'll plan a longer timeline that fits.

What can go wrong

Three things stretch implementations out. They are predictable and most are avoidable.

HRIS access delays. The HRIS admin who controls eligibility access is not always your benefits lead. We help you scope this in the kickoff call.

Card art revisions late in the cycle. Brand teams introduced after week one create rework. Loop in branding before kickoff.

Open enrollment overlap. Implementations during your OE window will run longer. Plan a Q1 or Q3 go-live where possible.

The go-live commitment

For qualifying contracts, we put the target go-live date in writing. The qualifying criteria, and the specific terms, are in your master services agreement.
